Assistant to the Head of School Job Description

OVERVIEW
The Assistant to the Head of School is appointed by the Head of School.Reports directly to the Executive Assistant, while supporting the Head of School’s office in all administrative needs.

DUTIES AND RESPONSIBILITIES
The Assistant to the Head of School provides organizational and administrative support, which includes scheduling, preparing documents, handling correspondence, and managing positive relationships. The individual in this position is expected to communicate effectively, represent the school positively, and align with its mission and vision.

Skills and Abilities

  • Excellent oral and written communication skills in English.
  • Proficiency in spoken and written Korean.
  • Strong attention to detail and accuracy.
  • Ability to handle sensitive information with confidentiality.
  • High proficiency with Google Workspace tools and a willingness to learn new technologies.
  • Flexible, adaptable, and proactive with a “no job is too small” and “How can I help?” attitude.
  • Effective time management skills to prioritize and organize tasks efficiently.
  • Self-motivated, displaying initiative and a willingness to assume responsibilities beyond those defined.
  • Ability to manage multiple tasks simultaneously in a calm manner.
  • Capacity to work independently with minimal supervision.
  • Skill in synthesizing diverse material to complete projects.
  • Professionalism, integrity, and tactful interaction with faculty, staff, students, parents, and other stakeholders.
  • Ability to present with positivity, warmth, and a good sense of humor, reflecting ISB’s commitment to a welcoming, professional atmosphere.

Role and Responsibilities

  • Answer, transfer, and coordinate inquiries, directing them to the relevant person or department in a timely manner.
  • Provide organizational, logistical, and administrative support for school events, parent workshops, assemblies, board meetings, and staff meetings.
  • Prepare documents, correspondence, and presentations on behalf of the Head of School, ensuring that materials are translated into Korean when appropriate.
  • Assist with the review, organization, storage, and formatting of ISB Official Documentation (e.g. Handbooks, Policies, Procedures, and Essential Agreements).
  • Coordinate the Head of School’s scheduling needs.
  • Use technology tools to support scheduling, calendaring, and relationship management efficiently.
  • Review and update the school’s online calendars.
  • Provide administrative support for the teacher recruitment and interview process.
  • Provide administrative support for the preparation of employment contracts and visa applications.
  • Support school-wide communication and engagement initiatives.
  • Assist with agenda development and minute-taking.
  • Provide logistical and administrative support for EAISAC and SKAIS tournaments, including transport bookings, parent correspondence, and sports uniform ordering and organization.
  • Provide administrative support for the After School Activities Programme.

WORKING HOURS

  • Standard working hours are 8:00 am to 4:00 pm, Monday to Friday.
  • The employee may be required to take on additional reasonable duties as requested by the Head of School, including some tasks outside regular working hours.
  • Entitlement to 35 working days of paid vacation per fiscal year, inclusive of legally granted annual leave.

TERMS OF EMPLOYMENT AND EVALUATION

  • The employment contract and job description are renewed annually.
    Employment conditions are governed by the latest school policies.
    Performance appraisals and evaluations will be conducted by the Executive Assistant.

SALARY
The salary is determined by the ISB Classified Staff Salary Scale.
